How do prize draws work on PitchIn Platform?

PitchIn Platform makes it easy for clubs to run a monthly prize draw for supporters. Supporters choose a number and pay a monthly fee to enter. The draw runs automatically on the 1st of every month, selecting winners at random from all valid entries from the previous month. Winners are emailed and asked to securely submit their bank details so the club can pay their prize, while non-winners are notified and directed to view the results for transparency. Club admins are also notified and can view the winner details in their dashboard to arrange payouts.

Who runs the prize draw?
PitchIn Platform runs the draw automatically on the 1st of every month, randomly selecting winners from all eligible entries from the previous month, removing the need for clubs to manage entries or run the draw manually.

Who pays out the prizes?
Prizes are paid directly by the club, not PitchIn Platform. When someone wins, they securely submit their bank details through the platform, and club admins can view these details in their dashboard to arrange the payout and mark it as paid so nothing gets missed.

What entries are included in the draw?
Each draw includes all numbers that were paid for during the previous month, whether they were purchased by a new supporter or renewed automatically as part of an existing monthly subscription on PitchIn Platform.

Do prize draws roll over?
No. Each draw is independent and only includes entries that were paid for during the previous month, so there are no rollovers between draws on PitchIn Platform.

How often are prize draws run?
Prize draws run once per month on PitchIn Platform, with the draw taking place automatically on the 1st of each month using entries from the previous month.

Can supporters buy more than one number?
Yes. Supporters can purchase multiple numbers on PitchIn Platform if they wish, increasing their chances of winning. Clubs can make as many numbers available as they like.

Can clubs choose their own prizes?
Yes. Clubs control their prize draw through their PitchIn Platform admin dashboard, where they can decide how many prizes to offer and the value of each prize.

Is it a monthly subscription?
Yes. Entries are paid monthly on PitchIn Platform and renew automatically each month unless the supporter cancels, keeping them in the draw without needing to sign up again.

What happens if a payment fails or a card is declined?
If a payment fails, PitchIn Platform automatically notifies the supporter and helps them update their payment details so they can keep their number active if they wish. If they prefer, they can also cancel their entry, helping clubs maintain continuity without needing to chase payments manually.

How does sponsorship work on PitchIn Platform?

PitchIn Platform allows clubs to list and sell sponsorship opportunities online, turning their platform into a simple sponsorship catalogue. Clubs can add opportunities such as player sponsorship, match sponsorship, or larger items like shirt sponsorship, and businesses or supporters can browse what’s available and complete a quick checkout to secure it.

What types of sponsorship can we offer?
Clubs can offer any type of sponsorship they like on PitchIn Platform. We provide templates for common opportunities such as player sponsorship and match sponsorship, which are often plentiful but untapped sources of revenue, but clubs can also list larger opportunities such as shirt sponsorship, kit sponsorship, or other bespoke packages.

How do businesses sponsor something?
Businesses or supporters simply choose the sponsorship they want on PitchIn Platform and complete a quick online checkout. During checkout they can provide their business name, logo, and website (if they have one), and once completed they automatically receive an invoice and receipt.

Do sponsors have to be businesses?
No. Sponsors on PitchIn Platform can be businesses, parents, supporters, or anyone who wants to support the club. Providing a logo or website is optional, which makes it easy for individuals to sponsor things like a player or match.

How do sponsors get recognition?
When a sponsor provides their logo and website through PitchIn Platform, they are automatically featured on your “Our Sponsors” page, which acts as a directory of all businesses supporting your club and can link visitors directly to their website.

What is the “Our Sponsors” page?
The Our Sponsors page on PitchIn Platform is a built-in page that showcases all sponsors supporting your club in one place. It acts as a simple directory that gives businesses visibility and provides clubs with a professional way to recognise everyone who sponsors something at the club.

How does PitchIn Platform help us sell sponsorship?
PitchIn Platform provides templates, shareable links, and marketing materials to help clubs promote sponsorship opportunities to businesses and supporters, making it easier to present and sell sponsorship packages online.

Can we contact sponsors again in the future?
Yes. PitchIn Platform includes built-in engagement tools that allow clubs to send emails to sponsors throughout the season, whether that’s sharing updates, thanking them for their support, or re-engaging them at the end of the season to sponsor again the following year.

Is the sponsorship directory included?
Yes. The Our Sponsors page is included as part of PitchIn Platform and comes ready to use, giving clubs an easy way to recognise sponsors and offer businesses additional visibility alongside the sponsorship they’ve agreed with the club.

What does it cost?

There are no setup or subscription fees. You only pay a 3.5% + 25p transaction fee when your club raises funds. For recurring payments (such as prize draws or subscription-style campaigns), Stripe may apply an additional 0.7% billing fee. This is charged by Stripe for managing recurring payments and is outside of our control.

Who pays the fees?

The club currently pays, but an option for supporters to cover fees is coming in March 2026!

Can we stop using it anytime?

Yes. There’s no contract or cancellation fee.

Can we use it with SNAP or other agencies?

Yes. It sits alongside existing agencies, helping you find your local sponsors, run prize draws and manage fundraising in one place.

We already have sponsors - is it still useful?

Yes. It helps fill smaller gaps like player or match sponsorship and makes it easy for supporters to buy them online.

What if we already use Pitchero, Teamo, or PlaiSport?

No problem. PitchIn Platform focuses only on fundraising and works alongside your current systems.

Can we link to PitchIn Platform from our website or social media?

Yes. You can embed or share your fundraising pages anywhere online.

Can we use it for non-sport fundraisers?

Yes. It works for any club or community project.

Is it easy to set up?

Yes. Most cubs launch and sell their first tickets within minutes.

What do we need to start?

Your club name, logo, and access to your Stripe account.

What happens if the person running it leaves?

You can add unlimited admins, so handovers are simple.

Do we need committee approval to sign up?

No. Any club member can start and you only pay if you raise money.

Can we run multiple fundraisers?

Yes. You can run as many campaigns as you like.

What payment provider do you use?

Stripe - a trusted and secure global payment platform.

Is it secure, and how are funds transferred?

Yes. All payments are handled by Stripe and go directly to your club's bank account.

What if we don’t have a Stripe account?

You'll need one for now, but new payment options are being developed.

How do we withdraw funds?

Stripe transfers funds automatically on a schedule you choose.

Can we get help?

Yes. Support is free via phone/email, and we can help with setup and promotional materials.

Do you offer fundraising advice?

Yes. Through webinars, demos, and best-practice guidance, just get in touch.

Can we track results?

Yes. Your dashboard shows donations, fees, prize draw info and net income clearly.
