Club Prize Draw Terms & Conditions

These Terms explain how club-run prize draws work on the PitchIn Platform.

By buying a ticket or sending in a free postal entry, you agree to follow these Terms along with PitchIn’s main Platform Terms of Use and Privacy Policy.

1. Who’s running the draw

Each prize draw belongs to the club or organisation that created it (the “Promoter”).

PitchIn Platform Ltd (“PitchIn”) provides the website, payment processing, and entry management to help clubs run their draws safely.

The club is responsible for drawing the winner, contacting them, and providing the prize.

2. Who can enter

  • You must be 16 or over and live in the UK.
  • Some draws might have extra rules (for example, only open to club members or local residents).
  • The club may ask for proof of age or eligibility before confirming a winner.
  • Anyone working for the club or for PitchIn, or their close family, can’t take part.

3. How to enter

There are two ways to join in:

a) Paid entry (subscription)

You can pay to enter the draw each month. Payments are taken monthly in advance using PitchIn’s secure payment system.

b) Free postal entry

If you’d rather enter for free, you can post in your details following the instructions shown on the draw page.

Each postcard counts as one entry for that month’s draw only — it doesn’t roll over.

Free entries are treated exactly the same as paid entries when the winner is drawn.

4. Picking winners

  • The club will hold the draw at midnight (UTC) on the first day of each month, unless stated otherwise.
  • Winners are chosen at random from all valid entries (both paid and free).
  • The club will contact the winner using the details provided.
  • Winners must claim their prize within 28 days of being notified. If a prize isn’t claimed in that time, the club may select another winner.
  • The club’s decision is final.

5. About the prizes

  • Details of the prize are shown on the draw page.
  • Prizes can’t be swapped, transferred, or exchanged for cash unless the club clearly says so.
  • The club is responsible for sourcing, organising, and delivering the prize.
  • PitchIn isn’t responsible for prize quality, delivery, or fulfilment.

6. Cancelling or refunds

  • You can cancel your paid entry at any time through your PitchIn account.
  • If you cancel after your monthly payment has been taken, it will stop from the next month onward.
  • Once your entry is confirmed for a draw, that month’s payment can’t be refunded.

7. Publicity and marketing

  • The club keeps a record of each draw and its winners for transparency.
  • A winner’s name will only be shared publicly (for example, on social media or fundraising updates) if they have ticked the consent box at checkout.
  • If consent is not given, the club may only announce the winning ticket number or anonymised details (for example, “Ticket #12 – claimed”).
  • You can withdraw consent for your name to be used in marketing at any time by contacting the club or support@pitchinplatform.com.

8. Data protection

  • The club and PitchIn each handle your data in line with their own privacy policies.
  • Information you share will only be used for running the draw, contacting winners, and processing payments.
  • You can ask to see, correct, or delete your data at any time.

9. Liability

Neither the club nor PitchIn can be held responsible for:

  • Lost, delayed, or misdirected entries,
  • technical issues or events beyond their control, or
  • any loss or damage linked to taking part or accepting a prize, unless caused by negligence.

Nothing in these Terms limits any rights you have under consumer law.

10. Disqualification

The club can refuse or cancel entries if:

  • these Terms are broken,
  • false information is provided, or
  • someone tampers with or unfairly influences the draw.

11. Suspension or cancellation

If a draw can’t go ahead because of technical issues, fraud, or other events outside the club’s or PitchIn’s control, the club may suspend, amend, or cancel it.

If this happens, the club will try to contact affected entrants using the details provided.
